# Automate every step around the review

Clearly AI workflows start the right reviews, run them in parallel, and send the results to every team that needs them: Jira tickets for engineering, a PIA in OneTrust for privacy, a vendor record in ServiceNow for third-party risk. Build it once on a visual canvas, and every review after that runs the same way.

## The assessment is only half the work

A finished review still has to go somewhere. Someone opens Jira tickets for the findings. Someone uploads the PIA to the privacy team's system. Someone creates the vendor record, updates the CMDB, and tags the project so the right owners see it. Every handoff is manual, and every one is a place where a finding stalls or a record goes out of date.

Then the next review comes in and it all starts again.

## How workflows work

Every workflow starts with a trigger. What happens after that is up to you.

- **01 Start from the tools you already use:** A new Jira ticket, an opened pull request, a ServiceNow record, or an Azure DevOps or Linear work item can start a workflow. So can activity inside Clearly AI, like a review being generated, approved, or commented on, or a project changing status. You can also run workflows on a schedule, like a quarterly re-assessment of your critical vendors.
- **02 Route each change to the right reviews:** Branch steps read the context behind a change, including the intake, linked design docs, tickets, and code, and check it against the routing rules you write for each path. A new product can fan out into a threat model, a privacy impact assessment, and an AI risk review at the same time, while a minor change runs one review. You can also route by methodology, like MAESTRO for an AI product and STRIDE for a web service.
- **03 Run the reviews:** Each path creates and generates a review against the template you choose, with the project, creator, and reviewer already assigned. Findings arrive pre-populated, with sources cited and gaps flagged.
- **04 Send the results where they belong:** Open Jira tickets for high-criticality findings. Comment on the pull request or issue that started it. Post a summary to the right Slack channel. Upload the PIA to OneTrust, add the vendor to ServiceNow, attach the review export, or write the results to Notion, Google Drive, or SharePoint.

- 01 Trigger: Jira, GitHub, ServiceNow, Azure DevOps, Linear
- 02 Route
- 03 Run
- 04 Review: Jira, Slack, ServiceNow, OneTrust

## Example: Six assessments from a single intake

An energy company's security team runs every new intake through a single workflow. A branch step reads the intake and checks which assessments apply: a cyber due diligence assessment, a data protection impact assessment, a SaaS application assessment, a responsible AI impact assessment, and OT or IT guardrail assessments. Only the reviews that apply run, and they run in parallel.

Each result goes where its owners work. The asset lands in the ServiceNow CMDB. Cyber due diligence results go to ServiceNow TPRM. The DPIA uploads to OneTrust. OT and IT reviews are tagged so the right teams pick them up.

## Automation that starts from the review

General-purpose automation tools move data between systems. Clearly AI workflows also run the review, so every step before and after it works from the same context.

- **The review is a native step.** Creating and generating a threat model, PIA, vendor assessment, or AI risk review is a single step, running against your templates and policies. There's no need to script it together through APIs.
- **Every decision is explained.** Run history shows each step's input data and variables, and why each branch took the path it did. You can trace exactly what ran and why, for your team or an auditor.
- **Branches read the system under review.** Branch steps look at the design docs, tickets, and code behind a change, with a crawl depth you set, so routing reflects what's actually being built.
- **You decide what every output says.** Each ticket, comment, and message a workflow creates is generated from the review's findings, using a prompt you write in the step. Include the severity, sources, owners, and next steps your team needs.

## Build it yourself, or start from a template

Security teams build workflows on a visual canvas. Pick a trigger, drag in steps, and connect them. No code required.

- Start from templates for common patterns, with a check that each required integration is connected
- Write instructions in plain language. Tell a step what to put in a Jira ticket, Slack message, or PR comment, and reference review data with @ mentions.
- Test before you turn it on. Run a workflow manually, check the run history, then enable it.

For more complex workflows, our team can help you design them.

## Coverage that doesn't depend on someone remembering the next step

- **90%** Reduction in time per review
- **4x** Review capacity with the same headcount
- **From 10 to 100%** Product coverage

_FAQ_

## Answers to your top questions

### What is a security review workflow?

A security review workflow automates the steps around a security assessment: starting the review when something changes, choosing which assessments apply, and sending findings to the teams and systems that act on them. In Clearly AI, each workflow has one trigger followed by review, branch, and action steps.

### What can start a workflow in Clearly AI?

Jira issues, GitHub pull requests and repository events, Azure DevOps work items, Linear issues, and ServiceNow records can all start a workflow. So can activity in Clearly AI, like a review being generated, approved, or commented on, or a project changing status. Workflows can also run on a schedule.

### How do branch steps decide which path to run?

You write the branching logic as a plain-language prompt. The branch step gathers context on the change, such as the intake, linked docs, code, and earlier review results, with a crawl depth you configure. It then evaluates each path separately and runs every one that applies, so one workflow can run several reviews in parallel. Run history records why each path was or wasn't taken.

### How are Clearly AI workflows different from general-purpose automation platforms?

General-purpose automation platforms move data between systems and leave the review itself to people or custom scripts. In Clearly AI, generating a sourced threat model, PIA, vendor assessment, or AI risk review is a native step, branches reason over the system under review, and results route to tools like Jira, ServiceNow, and OneTrust without custom integration work.

### Do I need to write code to build a workflow?

No. Workflows are built on a visual canvas, and steps like tickets, comments, and messages are configured with plain-language prompts. You can start from a template and customize it.

### Can workflows publish results to OneTrust or ServiceNow?

Yes. Workflows can upload privacy impact assessments to OneTrust and create or update records in ServiceNow, including CMDB and third-party risk records. They can also open Jira tickets, post to Slack, and write results to Notion, Google Drive, or SharePoint.

### Can I see why a workflow made a decision?

Yes. Every run is logged with the input data and variables for each step, plus the reasoning behind each branch decision. That gives your team, and your auditors, a clear record of what ran and why.

### Is a scheduled workflow the same as continuous monitoring?

No. Clearly AI doesn't watch your systems or dashboards. A scheduled workflow starts a point-in-time review at a set interval, like a quarterly vendor re-assessment, and routes the results like any other review.
